AIText: An AI-assisted Suite Integrating On-Premise LLMs to Support Technical Manual Authoring

Technical manuals require consistent terminology, compliance with linguistic and regulatory standards, and the reuse of validated content. At Unistudio 4D S.r.l., Technical Writers produce manuals in Italiano Tecnico Semplificato (ITS), a controlled language, for companies operating in different industrial sectors, working with Technical Illustrators and Layout Designers to produce the final product. This creates the need for software tools that support the entire drafting process, from retrieving validated sentences to generating new ones, while ensuring that confidential company data remains on-premise. This work presents AIText, an AI-assisted software suite deployed at Novi Data S.r.l. to support the production of technical manuals. It includes a Preprocessing application to extract and validate sentences, a Chatbot to support manual management and AI-generated index creation, an Editor integrating semantic search and AI-based rewriting, and a Paginator to generate the final layout. A Dashboard is also deployed to monitor feedback on the AI-assisted workflow. Open-source Large Language Models (LLMs) are deployed on-premise and the suite is integrated with the company's Odoo Enterprise Resource Planning (ERP) environment. The proposed system is evaluated in a real industrial setting in terms of accuracy, usability, and compliance with technical writing rules.
